1. Who we are and what these terms cover
These terms apply to OkayForm (okayform.eu), which is run by Alexander Seipel (see the imprint), called "we" below, and to you as its user.
They cover the free parts of OkayForm (the filing-window check, window reminders, the questions "Is this kit for you?", the checklist preview and the guides) and the renewal kit, which is currently free for a limited time. When you request a kit, you accept these terms with a checkbox. When you use the free parts, these terms apply to that use.
2. What OkayForm is, and what it isn't
- Self-service software. OkayForm is software with general information. You answer questions in English. The software fills in the official Czech application form with your answers, builds a document checklist for your case, shows you when, where and how to file, and sends you deadline reminders.
- You are the applicant. You check the form, you sign it and you submit it yourself, on time. OkayForm doesn't submit anything to any authority.
- Not legal advice or representation. We don't give legal advice about your individual situation, don't represent you before the Ministry of the Interior or any other authority, don't book appointments for you and don't communicate with authorities on your behalf. In Czechia, these are legal services that only lawyers may provide (Act No. 85/1996 Coll. on the Legal Profession).
- Support is product support. We help with using OkayForm, with technical problems and with access. We don't answer questions about your own residence situation. For those, the free help page lists free advice centres and how to find a lawyer.
- Independent. OkayForm is not affiliated with the Ministry of the Interior or any other authority. Nothing OkayForm produces is an official document or a decision.
- No promise of an outcome. Only the ministry decides on your application. We can't promise that it will be accepted, processed within a certain time or approved.
3. The free parts
The filing-window check, the questions "Is this kit for you?", the checklist preview and the guides are free and need no account. Window reminders are free too: they start after you confirm them by email and you can unsubscribe with one click in every email. We may change or end the free parts at any time.
4. The renewal kit
What you get
One kit is for one applicant and one renewal application. It contains:
- the official application form, filled in with your answers, as a PDF that you create on the kit page;
- your full personal checklist of documents, with where to get each one and its official source;
- your submission guide: when, where and how to file, the fee and what happens next;
- deadline reminders by email until you mark your application as submitted.
Which renewals
Renewing an employee card (zaměstnanecká karta) or a long-term residence permit for family reunification (dlouhodobý pobyt za účelem společného soužití rodiny) for the same purpose, by a person living in Czechia whose current permit is still valid. The questions "Is this kit for you?" check this before you can request. If they show that the kit doesn't fit your situation, you can't request it.
Your answers stay in your browser
We don't store your answers (see the privacy policy). You can create your PDF again while your kit is available (section 7), as long as your answers are saved in the browser you use or you load them from your answers file.
Where the content comes from
The checklist, the rules and the submission guide are based on official sources only (the law and the Ministry of the Interior's pages), and every item shows the day it was last checked. We watch the official sources every week and update the content when they change. If the ministry changes an application form, we stop offering the kit for that form until we have updated it.
5. Free for a limited time
The complete renewal kit is free for a limited time. No payment or card is needed. The ministry's administrative fee is separate and is still payable to the ministry.
Before requesting access, you accept these terms with a checkbox and enter your email address. We email you a single-use sign-in link so that only someone with access to that inbox can open the kit. The link expires after 15 minutes; you can request a new one on the sign-in page.
There is no automatic charge, paid subscription or payment commitment. We may end the free offer for new requests. If we introduce paid kits later, their price and payment terms will be shown before any purchase.
7. How long you can use your kit
- You reach your kit on the kit page by signing in with a link we email you. Your kit is available for 24 months after your last kit request, unless you delete your account earlier.
- We don't store your filled-in form. Save your PDF when you create it, and keep your answers file if you want to use your answers again.
- Deadline reminders stop when you mark your application as submitted, when the last day to file has passed, or when you delete your account.
8. Your part
- Correct answers. Answer the questions truthfully and completely, as in your documents. The form is your application, and the answers in it are yours.
- Check before you sign. Check the filled-in form and every document on your checklist before you sign and submit. If something in the form is wrong or doesn't fit your situation, don't submit it: correct your answers, or tell us.
- Is the kit right for you? If you are unsure whether your situation fits the kit, get advice before you file. The free help page lists where.
- Sign, submit and pay on time. Sign the form by hand, submit it on time in one of the ways the submission guide describes, and pay the ministry's fee. Keep proof that you filed. Don't leave it to the last day: offices can be busy, and the lack of a free appointment doesn't excuse a late application.
- After you file. Read and answer letters from the ministry within the time they set.
- Your sign-in. Keep access to your email inbox safe, because sign-in links are sent there.
- Fair use. Use OkayForm for your own application or for a family member you act for. Don't copy or resell the kit or its content, and don't use automated tools to download our pages or overload the website.
9. If something is wrong with the kit
We prepare the content with care from official sources and check it regularly. If your kit has a defect, for example a field in the form filled in wrongly from a correct answer, or a checklist item that contradicts its official source, tell us at hello@okayform.eu. We will investigate and correct defects in the kit. Your statutory rights for defective digital content (§ 2389a and the following sections of the Czech Civil Code) remain unaffected. We handle complaints without undue delay and at the latest within 30 days.
10. Liability
We are liable under the law. Nothing in these terms limits liability that the law doesn't allow to limit, in particular for harm to a person's life or health and for damage caused intentionally or through gross negligence (§ 2898 of the Czech Civil Code). Beyond that, we are not liable for:
- decisions of the ministry or any other authority, including how long they take;
- consequences of answers that were incomplete or didn't match your documents, of documents that didn't match your checklist, or of a form you submitted without checking it;
- consequences of filing late, or of not answering a letter from the ministry in time;
- changes to the law or to the ministry's practice after the date on which the relevant content was last checked;
- the website or an email being temporarily unavailable.
11. Changes
We keep the content up to date with the official sources; such updates are part of the service. We may change these terms for the future. Your kit request is governed by the version you accepted when you requested access. We may change, extend or end OkayForm or parts of it; if we end the kit service while your kit is available, we tell you by email beforehand and you can save everything you need.
12. Applicable law, disputes and language
Czech law applies. If you are a consumer living in another country, you keep the protection of the mandatory rules of that country (Art. 6(2) of the Rome I Regulation). Complaints and questions: hello@okayform.eu. Out-of-court resolution of consumer disputes: see the imprint.
